We’re pleased to formally invite you all to our 2023 Annual General Meeting (AGM) which will take place on Monday 20 November 2023, 4pm-6pm at Bourne Hall, Spring St, Ewell, Epsom KT17 1UF. The AGM will be followed by taster wellbeing activities and a light buffet so we can meet and talk to each other in a relaxed way.
We would like to encourage you to come along and also sign up to become a Member of MFT so you can vote and have a say about the future of our charity. Attending the AGM is a great opportunity to find out about how we run the charity, learn about some aspects of our work and meet our staff, CEO, Trustees and Patron! This year we will showcase some of our newer secondary care services: In-Reach and Recovery & Connect.
If you are not able to attend the AGM in person, you can still register as a Member of MFT and vote by proxy. For further information about the AGM, how to become a Member or vote by proxy, please visit our AGM page.
It is a legal requirement for us to send out documents that Members will be voting on 21 clear days before the AGM. Therefore if you would like to become a Member of MFT and vote at our AGM, you will need to register as a Member by Monday 23 October 2023.

What’s on the AGM agenda this year?
At this year’s AGM, you’ll be able to hear about our 2022/2023 financial results, our secondary care services: In Reach and Recovery & Connect as well as our new strategic priorities. At the end of the presentations, you’ll also be able to take part in taster wellbeing activities and enjoy a light buffet where you we can meet meet and talk to our staff, CEO, Trustees and Patron in a relaxed way.
A more detailed agenda will be available nearer the time to people who have registered to attend.
What will the Members of MFT be voting on this year?
People who have registered to become Members of MFT by 23 October 2023 will be able to vote on the following at the AGM:
– approval of the minutes from the 2022 AGM
– approval of our 2022-2023 Annual Report and Accounts
– re-appointment of Brewers Chartered Accountants as our financial auditors for the financial year 2023-2024
– appointment of Rupert Gowrley, Steven Rowley and Tommy Edwards as new Trustees of MFT
– re-election of Paul Matthews and Heather Ward as Trustees
– Special Resolution to amend the Memorandum and Articles of Association.
On 23 October, we will send out a copy of the 2022 AGM minutes, our 2022-2023 Annual Report and Accounts as well as the current Memorandum and Articles of Association with our proposed changes to anyone who has signed up to become a Member of MFT by 23 October 2023. It is a legal requirement that we send out all the necessary documents that Members will be voting on 21 clear days before the AGM so they have sufficient time to read and reflect on what they will be voting on.

How can I travel to Bourne Hall, Ewell where the AGM is happening?
The best way to travel to Bourne Hall is by car. Alternatively, Bourne Hall is a 5-minute walk from Ewell West Train station. Or you can travel one of the following buses: 293, E16, 406, 470.

Please note that expenses claim forms will be available at the AGM, if you would like to claim back parking, train or bus costs. You will need to complete the form at home and return to us with your receipt.
Can I park at Bourne Hall, Ewell?
There is ample parking at Bourne Hall (101 spaces) with Pay & Display up to four hours which can be topped up throughout the day. Ringo payments are an option too. In the unlikely event that the carpark is full, we have provided alternative car parks for peace of mind on our Transport Information Sheet.
We are able to provide 22 pre-paid parking passes on the day for people attending the AGM at no cost to you. These will be given on a first-come-first-served basis. Please contact us as soon as possible at communications@maryfrancestrust.org.uk or on 01372 375400 or 07929 024722 (SMS service) if you would like one. Emma will confirm whether you have been successful. The pass will be given to you on the day of the AGM.
If you haven’t been able to get a pre-paid parking pass, expenses claim forms will be available at the AGM, if you would like to claim back parking costs. You will need to complete the form at home and return to us with your receipt.
Is there a dress code to attend the AGM?
There is no dress code for our AGM. You are welcome to wear anything you would like. However, as part of the wellbeing activities at the end of the AGM, there will be the chance to try out Tai Chi. If you would like to join in with this activity, it is preferable to wear loose clothes and flat shoes on the day.
